How to use e-mail Forwarding and Autoresponders?

E-mail forwarding is the most effective way to recieve email address sent to multiple addresses without creating multiple POP3 e-mail accounts. The most common redirects are webmaster@yourdomain.com, sales@yourdomain.com, support@yourdomain.com, info@yourdomain.com etc. You can use your control panel features to create redirect for these or other addresses and send all the mails to addresses delivered to POP3 accounts of your choice. This is an most easy way to send emails to several members of your company which avoids hassle of creating and monitoring multiple accounts in yur email client.

Autoresponders is a method of automatically replying to an email with information. Using autoresponder with a redirect would allow you to capture rmail adress of the person requesting information. You can also use CGI email form in combination with an auto responder and a redirect to capture more detailed information about the requestor. 

E-mail forwarding and autoresponders can be of great help if configured correctly. However, a small mistake in configuration may result in problems affecting all mail delivery associated with your account. Read the manuals before using this features. 

Configuration errors that encounter include:

a.Incorrect “default” redirect
The first entry in e-mail forward list should be “default” followed by the primary account login (e.g., yourdomain@yourdomain.com). 

b. Incorrect naming
Redirects and autoresponders must not share the same name as a POP3 user or a maillist.

 

What is Forged or Spoofed E-Mail:

There's a type of spam called "forged e-mail" or "spoofing." Spammers can obtain e-mail address lists, which may include valid IHOT or your domain addresses. They use these addresses in the "From" field of spam they send. If yours is "selected," the spam looks like it came from you. Consequently, it also looks like it comes from within the our sever, IHOT or your domain. 

IHOT security staff have receiving complaints from individuals both outside and within the our orgnaiton. Recipients are amazed we would allow this often-pornographic spam to be sent from our addresses. If you receive a complaint, you may worry that your e-mail account has been compromised. While this is unlikely, it's always a good idea to change your password regularly

We are very concerned about forged e-mail. However, technically, it is very simple for spammers to forge any e-mail addresses, and we are not able to prevent them from doing so. 

You may discover your e-mail address has been forged if you: 

  • receive delivery rejection notices for messages you haven't sent; if the recipient's e-mail address is invalid, the message is returned to you because your address is in the "From" field. The only thing you can do is delete the message. 
  • receive complaints from people who believe you are the sender. If you receive a complaint, the IHOT support staff has created a standard reply message for you which explains forged e-mail.

Replying To a Complaint  

Sometimes when we receive an angry e-mail, our first instinct is to send an angry reply. In the case of forged e-mail, the complainer believes you are the spammer. Imagine how you might reply to a spam message if you thought you had found the spammer. 

You need to assure the person — in a reasoned manner — that you are not the guilty party. Using the following prepared reply, you explain the situation and acknowledge that the University is also concerned about foreged e-mail. You can copy this message and paste it into a reply. Unfortunately, the person complaining is unlikely to be the only one who received the spam attributed to you, so you might want to keep this reply handy. 

 

Hello -- 

I believe we are both victims of spam called "forged e-mail" or "spoofing." The message you received was not from me. It came from a spammer who has maliciously inserted my e-mail address in the "From" field. Unfortunately, there is nothing either you or I can do about it other than to delete the message. 

Recently, the our service provider has begun receiving many complaints from people both outside and inside the orgranation who have been victimized.

I having error sending mail out from my web hosting account, what should I do?

I was able to send mail from my web hosting account and now it won't let me send anything What do I do?

This is very common problem.  Many providers of internet access block Port 25, which is the ports used to send mail from your computer to our mail server.  We have no control over this at all.  It is done with the attempt to prevent spam.  

To get around this issue you need to change the Port your e-mail is using to send mail out from Port 25 to port 587.  IHOT, as well a many other hosting providers have open up this port to allow the sending of mail.  This port requires that the user send their username and password prior to being able to send mail.  

This setting is in a different place in each of the e-mail programs.  Below are some instruction on a few of the programs.  

You should also contact your IT person if you need assistance in changing this setting. 

 

Microsoft Outlook and Outlook Express 

To change the outgoing mail port from 25 to 587: 

  1. In Outlook, drop down the Tools menu 
  2. Choose Accounts or Account Options 
  3. Click on the Mail tab 
  4. Click on Properties 
  5. Click on the Advanced tab 
  6. Change the outgoing mail from port 25 to port 587 
  7. Make sure that the box that says This connections requires a secure connection(SSL) is NOT checked 
  8. Click OK 
  9. Restart Outlook 

 

Netscape 7.x 

To change the outgoing mail port from 25 to 587: 

  1. Launch the Netscape mail client 
  2. Drop down the Edit menu, and choose Mail and Newsgroup Account Settings 
  3. Click Outgoing Server (SMTP) 
  4. On the right hand side next to server name it should say Port: 25 
  5. Change that number from 25 to 587 
  6. Click OK 
  7. Restart Netscape 

Entourage

To change the outgoing mail port from 25 to 587

  1. Launch Entourage 
  2. Drop down the Tools menu, and choose Accounts 
  3. Click on Mail , and go to Properties 
  4. Click Advanced Sending Options 
  5. Make sure the box that says "This POP service requires a secure connection" is unchecked 
  6. Check the box that says "Override default SMTP port:" and enter in port 25 
  7. Click OK 
  8. Restart Entourage

If you are using a program not listed above then you should contact vendor of the program for detail instructions.

 

 

How do I view my e-mail using a web browser for my hosted domain name?

To access your mail over the Internet using a web browser is simple. Open your web browser and on the address line enter the following  

http://yourdomainname.com/webmail  (replace yourdomainname.com with your own domain name.)

Next you need to enter your complete e-mail address and your password for your e-mail address

Once your login information has been processed you will be on the E-Mail program selection page.  Click on the Squirrel mail ICON. 

 

How may I forward the email received for admin1@domain.com to be sent to admin2@domain.com, if admin1@domain.com is a real mail box? 

If you create a forwarder for an address for which there is also a local mailbox, mail should be delivered to both the local mailbox and the destination of the forwarder. 

If you don't want mail delivered to the local mailbox, remove the mailbox. Mail will then only go to the destination of the forwarder. 

I have a pop3 account called admin1@domain.com and I want the mail also sent to to three other e-mail account? 

Create three forwarders and the mail received at admin1@domain.com will be forwarded to each of the forwarder you created. 

 

I can receive e-mail just fine but can't send mail?
I'm getting a 550 error or 554 error when trying to send mail?

Many ISP block the sending of mail on port 25 unless you are a member of there network. 

This can be for a number of reason but the most common is your settings for sending mail are failing.

You can correct this issue by forcing all mail to be sent out using port 587 instead of the default port 25.  

In your E-Mail Client program change your port for sending mail from 25 to 587.  

You also need to check the box called "My outgoing server (SMTP) requires authentication". You may also need to enter your user name (e-mail address) and password.
